Ahmed,

Defintion of Expenses (extract from P6 Help Menu)

Expenses are nonresource costs associated with a project and assigned to a project's activities. They are typically one-time expenditures for nonreusable items. Examples of expenses include materials, facilities, travel, overhead, and training.

You can categorize expenses, indicate a unit of measure for expenses, and specify whether an expense accrues at the start or end of an activity or uniformly over its duration. Each expense has a budgeted or planned cost, actual cost, and estimated remaining cost.

Expenses are not the same as resources. Resources generally extend across multiple activities and/or multiple projects. Examples of resources are personnel and equipment. Unlike resources, expenses are project-specific. P6 Professional does not include expenses when leveling resources. Resource curves are not supported for expenses.

Baseline Project Expense Cost

This is an expense that has been saved with the Project baseline activities.

Cumulative Baseline Project Expense Cost

This summation of all expenses in the Project baseline.

Actual Expense Cost Calculation

Actual Expenses are calculated by either assigning an Actual Expense % Complete to an Expense Item or manually entering an Actual Expense Cost (entering an Actual Expense % Complete will auto calculate Actual Expense Cost while entering Actual Expense Cost will auto calculate Actual Expense % Complete)

Planned Expense % Calculation

P6 does not have a Planned Expense % Complete field but you can use a workaround with UDF to link Schedule % Complete to a UDF Planned Expense % Complete if your expenses accrual method for an activity is "uniformly over its duration"
