MS Project Resource Allocation

Dear Experts

Please can you guide me:

1. I had a PLANNED number of hours as 10 but the developer finished it in 5 hours ACTUAL. He is not overloaded

If I put in MPP, as task completed, I get overloaded figure to it's name. How can I resolve it.

Without baselining it.



2. I have assigned 4 developers to a project for 25% of time only for the said duration. How do we represent it so that

I don't have to manually put it the % allocation.

Hello,

1. I presume that you are sharing resources amongst the different projects; by default, MS Project computes and displays the resource workload amongst all the projects that are using this particular resource, should the projects be open or not

To only display the workload of the resource on ONE particulal project: close all the files, open this particular project you are willing to work on ALONE (use the appropriate option in the dialog box)

Be careful not to change the resource specifications (Max Units, Calendar, Std Rate, ...) when the Resource Pool file is not open; MSP would have difficulties to reconcile the local and shared resource definition afterwards

2. The easiest way, the way I would work, is to work in the Task Detail Form (Work format): set the "Task type" field to "Fixed Duration", then enter the appropriate value in the Units column, i.e. 50% or 25% ... To enter the absolute value in the Task Usage sheet would be long and borins, as you say the resource is allowed/able to shift from one task to the other

Thank you.

1. I have two kinds of scenarios in my project

a. Couple of Resources work only the task mentioned and may do parallel work in other groups or respective groups. I do have to present only work hours done in my project. I need to proesen

b.  I have couple of resources who spend 3 hours in task A and 3 hours in task B, and rest 2 hours in task C. How best to present this in MSP,  I am not sure if this is a fixed term as the resoursce is given free hand and they come back with time spent. Any advice as it is pain to manually feed allocation units every time.

Anand,

1. are you sure the resource is not working on other tasks in your project?

2. will you assign the 4 resources on a "Fixed Duration" task? If the worload is 1/4 of the duration, enter the worload amount, and MSP will compute the % allocation; if the task is "Fixed Units" or "Fixed Work" , you will have to enter the % allocation by yourself.
